What Haut Neige SA holds on you, why we hold it, who else sees it and how long it stays. Written plainly, because a family office should be able to read it once and be satisfied.

Who we are

Haut Neige SA is a Swiss company registered in Geneva, operating a seasonal office in Courchevel, France. Haut Neige SA is the data controller for all personal data described in this notice.

This notice is written to the Swiss Federal Act on Data Protection (FADP) and, where clients or staff are resident in the European Union, to the General Data Protection Regulation (GDPR).

What we collect

We collect only what is required to run a winter season on your behalf. In practice that is more than a hotel needs and less than a bank.

  • Identity and contact details for the principal and each member of the travelling party.
  • Dates of travel, chalet allocation, room preferences and party composition including the ages of children.
  • Skiing ability, guiding history and any relevant medical or dietary information volunteered for safety in the mountains.
  • Travel documents where required for a transfer, a flight or a border crossing.
  • Payment and billing details, held by our payment provider and not on our own systems.
  • Correspondence with the office and with your season manager.

Why we hold it

  • Performance of contract — arranging the chalet, guides, instruction, staff and transfers you have retained us for.
  • Legitimate interest — running the office, improving the service and protecting our clients and staff.
  • Vital interest — passing medical or ability information to a guide where it bears on safety on the mountain.
  • Legal obligation — Swiss and French accounting, employment and tax record-keeping.

Who sees it

Data is shared only where a party must have it to deliver something you have asked for. Chalet owners receive a name and a party count. Guides receive ability and relevant medical information. Airports and operators receive what regulation requires and nothing beyond it.

We do not sell data, we do not share client lists, and we do not permit any supplier to market to you. Every supplier who handles client data is under a written processing agreement with confidentiality terms.

Where it is held

Client data is held on servers located in Switzerland and in the European Economic Area. Where a supplier outside those jurisdictions is unavoidable — an airline, a resort in Colorado or Hokkaidō — data is transferred under standard contractual clauses and limited to the minimum required.

How long we keep it

  • Active client files are held for the duration of the engagement and for six years afterwards, as Swiss accounting law requires.
  • Enquiries that do not become files are deleted after twenty-four months.
  • Staff records are held for the period required by Swiss and French employment law.
  • Passport and travel-document copies are deleted within thirty days of the end of the relevant journey.

Your rights

You may ask for a copy of what we hold, ask us to correct it, ask us to delete it where we are not required to keep it, object to a particular use, or ask for it in portable form. Write to the office and we will answer within thirty days.

If you believe we have handled your data improperly you may complain to the Swiss Federal Data Protection and Information Commissioner, or to your national supervisory authority within the European Union.

Security

Client files are encrypted at rest and in transit. Access is limited to the season manager holding your file and to the partners of the office. Staff sign confidentiality undertakings that survive the end of their employment. Household staff placed by Haut Neige SA sign a separate non-disclosure agreement covering everything they see inside a client's home.

Changes

Material changes to this notice are sent to active clients by email before they take effect. The version in force is always the one published here.
